Your Weekly Map

VaNessa’s first scheduling key is to break your weeks into “buckets.” These are the responsibilities that you have every week, week in and week out, all year long. You would include all the major roles for your work as well as the major roles for your personal life.

Here is VaNessa’s personal “Weekly Map” example:

  • Sunday – Family Time/ Computer/ Audio/ Reading
  • Monday – Marketing (Prep blog posts, autoresponder emails, create content)
  • Tuesday – Coaching Calls (add audio mindset/rejuvenate)
  • Wednesday – Coaching/Trainings for team and students
  • Thursday – Coaching/Trainings for team and students
  • Friday – Marketing (Prep blog posts, autoresponder emails, content, post card)
  • Saturday – Coaching/ Family Time/ Computer/ Audio/ Reading
  • {Social Media doesn’t count – I’m on there everyday}

Find Your “Patterns”

Here’s how VaNessa’s time breaks down:

Her weekends are primarily family time, with some time to read, listen to audios, etc.

Monday and Friday are always for marketing, which she groups as an “internal” business function.

Why?

Because that’s how other people’s schedules work best, and you’re building a schedule for the long term. So all summer long, when people are taking long weekends and checking out, if you have calls and trainings scheduled, you may not have anyone to talk to.

And all winter long when people spend their Mondays getting back into the swing of work, and their Fridays getting ready for the weekend, you can still be effective and get the work done that you need to.

That leads directly to…

Tuesdays, Wednesdays, and Thursdays being your “external” work days. Those are the days everyone else is ready to work, so on those days, you need to be ready to engage with them in calls, trainings, webinars, or whatever ways you work with your clients.

Fill Your Buckets

This is a basic plan for how to lay out your week, and VaNessa notes that there is actually a great deal of flexibility built into this schedule because the more structured your days are, the more flexible your life is. You’re just giving yourself a track to run on or some basic guidelines to help you know what to do each day.

Once you know that outline, you can fill it in by doing what you want, when you want, how you want.

You’ll feel better and have less pressure because you’ll know that you’re covering all of your “buckets” each week, and taking care of each responsibility; now you’ll just have a plan to make that happen.

Once you have your weekly map in place, it’s time to set up your Daily Map.

Your Daily Map

This is where you have to personalize your schedule for your work and your life.

Are you a morning person? Great. Get started early and turn in early.

Night owl? Great – schedule that in.

The key is to do what works for you, your life, and your most effective ways of working.

VaNessa shared that her daily schedule is shaped by her kids’ school schedule as well as her clients’ needs.

Her map looks like this:

Monday, Tuesday, Friday:

  • 4:30-6:30 a.m. Myself Mode—Audios, watching trainings or webinar replays.
  • 6:30-9:30 a.m. Mom Mode—Kids to school, grocery, etc.
  • 9:30-2:30 Work Mode—see weekly map
  • 2:30 – 8:00 p.m. Mom Mode—Pick up kids, dinner, activities, homework.
  • 8-10 p.m. Work or Me Time—Clean up loose ends of work or take care of myself.

Wednesday, Thursday:

  • 4:30-6:30 a.m. Myself Mode—Audios, watching trainings or webinar replays.
  • 6:30-10:30 a.m. Mom Mode—Kids to school, grocery, etc.
  • 10:30 – 8:30 Work Modesee weekly map
  • 8:30 – 10:00 p.m. Work or Me Time Work, reading, or free time.

Why the difference in the two schedules? Because her kids have different schedules on Wednesday and Thursday, so their schedules are built into her schedule. Also, some of her clients need to do their coaching calls in the evening, so she schedules in the time to make that happen on days that work for her.

It’s all about working with what you have!

Making Your Daily Map Work

The key is to create and use your daily map to help you structure your days. It will help you know what to do, use your time wisely, and get control of your schedule.

Within those time blocks, do you have time that you can use for another purpose? For example, if you’re commuting, can you listen to audios while you drive or ride?

While she’s in mom mode, VaNessa still takes calls, checks her phone, answers texts, etc., but she readily tells people, “I’m in mom mode.” They know that means her time isn’t super structured, but she’s available.

The weekly and daily maps “really help if you’re feeling scattered and all over the place,” she notes. “They are a model of efficiency and effectiveness.”

No Set Schedule? No Problem!

One of the webinar viewers asked what to do when you don’t have a set schedule. This person worked a shift cycle of three days on, three days off, so rather than a weekly schedule, she had a continuously rolling set of shifts.

VaNessa’s answer was that “Consistency is more important than a schedule.”

Oooh – that’s brilliant! Let that sink in for a minute.

Consistency.

Her answer to planning that schedule was so label the days on day 1, 2, and 3, and then the days off 1, 2, and 3 rather than creating a constantly shifting days-of-the-week-based schedule. By making adjustments to suit your needs, you can still give yourself effective structure.

Then plan your work within those days. For example, on the first day after three night shifts in a row, she advised staying away from heavy mind work, which could be left for days 2 and 3.
